Managing Customer Records

Use the Customer Record to record data on individual and organization customers, set up relationships, make and view purchases, upload documents, and more.

  1. Navigate to the Customers Application.
  2. Select the Individuals or Organizations Feature corresponding to the type of customer being added to the system.
  3. The Customer Search form will appear. Click the Add New Customer button.
  4. Complete the Add New Customer form. Fields marked with an asterisk are required.

Areas of the Customer Record

Customer Records are divided into several tabs. These can include:

  • Overview: Core information and recent activity about the customer is displayed on the Overview tab. View primary contact information, unpaid balances, membership status, notes, and more.
    Balance updates nightly--to immediately update the balance on the customer Overview tab, click the refresh icon in the balance panel.
  • Account: Use the Account tab to manage personal and contact information and relationships. When viewing an Individual Profile, options to manage roles, committee involvement, and solicitor status also appear.
  • Purchases: All of a customer's purchases are recorded under this tab. Recent orders are combined into an easily viewable list, but admin users can also see the customer's history of all membership, subscription, event, exhibit, merchandise, and publication orders. Credits are also listed under the Purchases tab.
  • Requests (Individuals Only): For clients utilizing the "requests" functionality, this tab lists all requests that an individual has made.
  • Tasks (Individuals Only): Assign tasks to the individual, which appear as notifications in the toolbar at the top of the page. If the individual has received any notifications in the toolbar--for example, a membership expiration notification--these will also appear under the Tasks tab.
  • Documents: Upload customer-related documents and organize as general documents, white papers, videos, and (in the case of Individuals) resumes.
  • Custom: For clients who have opted to bring data into the Impexium custom database, taff users can manage that data using the Custom Data app.
  • Buy: Quickly purchase products for the customer and register them for events and exhibits using this tab.
