Configuring a Cvent Integration
Clients using Cvent can accept registrations and payments in Cvent and import those registrations into re:Members AMS. The following fields are included in the import from Cvent: capacity, description, start date, event start date, start time, end time, event end date, name, time zone, venue, venue address, and sessions.
Three steps must occur:
-
The event must be configured (properly) in Cvent.
-
The event must be imported from Cvent to re:Members AMS.
-
Registrants and cancellations must periodically be imported from Cvent to re:Members AMS
Cvent Event Configuration for Import to re:Members AMS
Note: The following steps are completed from a Cvent account.
To successfully import data from Cvent, Standard Registration must be selected during event creation (not Express Registration or Express Ticketing).
Tip: Only sessions created in Cvent (not tracks) are imported to re:Members AMS.
Once the event is created, click Launch in Cvent and accept registrations as normal.
Importing Events from Cvent to re:Members AMS
-
In re:Members AMS, navigate to the Events app > Events feature.
-
Click the Import from Cvent button.
-
Using the Event Name field, select from the list of Cvent events.
-
Click Import.
Once the event is imported from Cvent, it will exist as an re:Members AMS Event Record. In this Event Record, on the Details tab > Additional Info menu option, the Cvent Event Code and External Event Provider fields appear.
Caution: Registrations from Cvent can be imported to re:Members AMS, but if registrations are created in re:Members AMS, these cannot be pushed to Cvent.
Importing Registrants from Cvent to re:Members AMS
In the Event Record of an imported event, the option to Import Registrants from Cvent appears under the Actions drop-down, allowing staff to import registrations and cancellations from Cvent for that event whenever necessary.
Note: For imported registrants, an open order for zero dollars is automatically created and cannot be invoiced—this functionality exists because an Order Record must be created in relation to the registration, but all financial transactions have already taken place in Cvent and should not be tracked again in re:Members AMS.
Any Order Records or Event Registration Detail pages created because of the import from Cvent are clearly labeled as “External Purchase Cvent” at the top of the record.
Registrations can be accepted in Cvent and in re:Members AMS simultaneously for the same event. However, while registrations from Cvent can be imported into the re:Members AMS system, registrations created in re:Members AMS are not pushed into Cvent.
