Setting up the Credit Card Merchant

To process credit card transactions in the system, information for at least one credit card merchant account must be set up.

Once one or more merchant accounts are configured, these will be selectable in locations such as Product Records (when indicating which merchant account should be used when that product is purchased) and when setting up payment methods in the Business Unit.

Configuring a credit card merchant involves establishing the credit card processor, or vendor, to be used, then entering merchant account information from that vendor into Impexium.

  1. Navigate to the Accounting App > Setup > Merchants. The Merchants tab contains all credit card merchant accounts that have been created in the system. Depending on your organization's needs, one or multiple may be necessary.

  2. Click Add New Merchant. The Add Merchant form will appear. Required fields are marked with an asterisk. In this form:

    1. Enter a merchant Name.

    2. Select a Vendor from the drop-down list. Impexium currently supports:

    3. Enter a Client/API Login ID. This will be a unique ID code provided by the Vendor.

    4. Enter the Secret code.

    5. Enter the End Point URL.

    6. If desired, associate the credit card merchant being created with a certain Business Unit. This setting can be used in cases where multiple business units and multiple credit card merchants are set up in the system.

    7. Once a business unit is selected, a Cash Account can also be associated with the merchant.

    8. To use the credit card vault, click the Enable Vault check-box. For additional information see, Enabling Autopayments and the Credit Card Vault.

    9. Set Address Verification to request ZIP code or to use billing address.

    10. To enable the credit card reconciliation process, click the Enable Reconciliation check-box.
      Note: In order for a staff user to be able to enable merchant reconciliation on the credit card merchant setup form, that staff user's role must permit them to also see and run the Accounting.MerchantReconciliation process.

    11. Under Payment Methods, select the credit card payment methods that should use this merchant.

  3. Click Save.

Note: The Client/API Login ID, Secret, and End Point are all provided by the Vendor. Please get in touch with your Vendor for assistance in obtaining this information.
