Membership Configuration Settings

There are several membership configuration options available pertaining to membership purchase and renewal. Locate these in the Configuration App, under the Membership section.

Membership ID & Membership Certificate Settings

These settings pertain to managing access to the membership ID card and the membership certificate by staff and non-staff users.

Allow Members to Download Member Certificate

  • Description: For clients interested in allowing members to download a membership certificate, this causes a download button to appear on the My Profile page, by which a member can view and print a certificate form. Note that this "certificate" is unrelated to certifications as managed in the Certifications App.

  • Field Type: Check box

  • Default value: "No."

Allow Members to Download Membership ID Card

  • Description: For clients allowing members to print a membership card, this option causes the download ID button to appear on My Profile > Purchases > Memberships. The membership card allows a wallet-sized card with the member's membership information to be printed.

  • Field Type: Check box

  • Default value: "No."

Allow Staff to Download Member Certificate

  • Description: For clients interested in allowing printing membership certificate forms, this causes a download button to appear on the member's Customer Record, by which a staff user can view and print a certificate form. Note that this "certificate" is unrelated to certifications as managed in the Certifications App.

  • Field Type: Check box.

  • Default value: "No."

Allow Staff to Download Membership ID Card

  • Description: For clients allowing staff to print member ID cards, this option causes the download ID button to appear on the Customer Record > Purchases > Memberships.

  • Field Type: Check box.

  • Default value: "Yes."

Membership ID Card Report Name

  • Description: If the option to download a membership ID card is enabled, this field allows an administrator to identify a report to use for the layout and formatting of the ID card.

  • Field Type:

  • Default value: "MembershipIDCard."

Membership Management

Allow Overriding Effective Date and Allow Overriding Expiration Date

  • Description: These two options give staff the ability to change the effective or expiration date(s) for a customer's membership. This permission is for staff users only.

  • Field Type: Check box.

  • Default value: "No."

Show Terminated Memberships on Overview

  • Description: If a customer held any memberships that were terminated, this options shows those terminated memberships on the Customer Record > Overview tab, with the option to Rejoin.

  • Field Type:

  • Default value: "No."

Show Real Time Membership Info in Overview

  • Description: When enabled, the Customer Record > Overview tab will display a customer's latest membership information in real time. When not enabled, this information will update nightly.

  • Field Type: Check box.

  • Default Value: "No"

Maximum Chapters Allowed with National Membership

  • Description: The maximum number of chapters associated with a national membership that a user can have active at one time.

  • Field Type: Text

  • Default Value: [null]

Message to Customer when the Maximum Number of Chapter Memberships is Reached

  • Description: When a non-staff user is checking out with a membership and the number set in the Maximum Chapters Allowed with National Membership setting is exceeded, this message will appear.

  • Field Type: Text box.

  • Default Value: "You have reached the Maximum Amount of Chapter Memberships. Please click here to email support for further assistance"

Message to Staff when the Maximum Number of Chapter Memberships is Reached

  • Description: When a staff user is checking out with a membership and the number set in the Maximum Chapters Allowed with National Membership setting is exceeded, this message will appear.

  • Field Type: Text box.

  • Default Value: "The Maximum Amount of chapter Memberships have been reached for this Individual. Please cancel an existing Membership, Transfer the Membership, or add a Termination Date to an existing Membership"

Membership Purchase and Renewal

Membership Wizard Selection Configuration

  • Description: For clients using national and chapter memberships, this setting allows for unique configurations of the Membership Purchase Wizard.

    Note: To use the "National (Single) > Chapter (Single) > Chapter (Multiple)" or "National (Single) > Chapter (Multiple)" settings, chapters must be configured and must be set as related products to a national membership. If a membership is not configured to have related chapters, an error message will appear during checkout when that membership is purchased.

  • Field Type: Drop-down; options include:

    • All (Multiple): In the Membership Purchase Wizard, all memberships are selectable on one page, including chapters. Chapters display as related products under their associated national memberships.
    • National (Single) > Chapter (Single) > Chapter (Multiple): In the Membership Purchase Wizard, membership selection takes place across three pages.
      • In page 1, the national membership is selected.
      • On page 2, a chapter membership is selected.
      • On page 3, one or more other chapter memberships can be selected.
    • National (Single) > Chapter (Multiple): Membership selection takes place across two pages.

      • On page 1, the national membership is selected.
      • On page 2, one or more chapter memberships is selected.
  • Default value: "All (Multiple)."

National Membership Wizard Step HTML Message

  • Description: If the Membership Wizard Selection Configuration setting uses either the "National (Single) > Chapter (Single) > Chapter (Multiple)" OR the "National (Single) > Chapter (Multiple)" option, this HTML message can be configured to appear during the national membership selection screen.

  • Field Type: Text box.

  • Default value: [null]

Primary Chapter Wizard Step HTML Message

  • Description: If the Membership Wizard Selection Configuration setting uses either the "National (Single) > Chapter (Single) > Chapter (Multiple)" or the "National (Single) > Chapter (Multiple)" option, this HTML message can be configured to appear during the first chapter membership selection screen.

  • Field Type: Text box.

  • Default value: [null]

Secondary Chapter Wizard Step HTML Message

  • Description: If the Membership Wizard Selection Configuration setting uses the "National (Single) > Chapter (Single) > Chapter (Multiple)" option, this HTML message can be configured to appear during the second chapter membership selection screen.

  • Field Type: Text box.

  • Default value: [null]

Renew Days Before Expiration

  • Description: This is the length of time, in days, before the member's expiration date that the member will have the option to renew. Once the member is within this time period, the "Renew" button will appear in their My Profile.

  • Field Type: Integer.

  • Default value: "120."

Allow Members to Renew

  • Description: Allows non-staff members the ability to renew their membership. If this option is turned off, memberships must be renewed by staff, either on a member by member basis or using the mass renewal process.

  • Field Type: Check box.

  • Default value: "Yes."

Show Only Renewal Membership Type in Wizard

  • Description: When this option is set to "yes," only the membership type to which the member is renewing will appear during the membership renewal wizard. If this option is turned off, all possible membership types will appear in the renewal wizard.

  • Field Type: Check box.

  • Default value: "Yes."

Membership Renewal Upgrade Wizard Step HTML Message

  • Description: This text appears during the renewal process when a member chooses to upgrade their membership to a different membership type. (For more, see the help topic: Suggesting a Membership Upgrade.)

  • Field Type: Text box.

Message Customer will See when Trying to Renew a Membership with an Open Order or Invoice

  • Description: If a customer has an open order or unpaid invoice for a membership and they try to renew that membership, this message appears.

  • Field Type: Text box.

  • Default value: "You already have an open order or invoice for one or more selected membership types. Your balance must first be paid before you continue. Please click 'Continue' to be redirected to pay or click 'Cancel' to change your selection. The balance for the following membership type(s) must be paid:"

Member Transfer Policy

  • Description: Enabling this allows for a customer's primary or calendar membership type to be transferred to a different type. (For more, see the help topic: Transferring Memberships.)

    Options include:

    • Do Not Allow: This setting does not permit the transfer of a customer's membership type to a different type.

    • Allow Staff: Allows staff users (not members themselves) to transfer a customer's membership type via the Customer Record. This setting is accessible in the Customer Record > Purchases tab > Memberships menu option. The Transfer column is visible, with the Transfer button allowing for easy transfer of one membership type to another.

  • Field Type: Drop-down.

Membership Transfer Wizard Step HTML Message

  • Description: If the Membership Transfer Policy setting is enabled, during the transfer wizard process this HTML message will appear.

  • Field Type: Text box.

  • Default value: [null]

Terminate Reason for Membership Transfer

  • Description: If a customer transfers from membership A to membership B, their membership on membership A is terminated. This setting allows you to set the desired termination reason to be applied on that customer's membership history in that scenario.

    Options in this field are configured under the Memberships App > Setup > Terminate Reasons.
